My Rotas & Calendar
Your shifts, ready when you need them.
Keep your working week organised as plans change.
What you can do
- Save more than one rota and reopen the one you need.
- Access saved plans on your phone, tablet or computer.
- Review upcoming shifts in calendar and list views.
- Make one-off changes without rewriting the whole repeating pattern.
- Choose work, caring responsibilities or both for calendar exports.
Downloads are snapshots. Later changes do not automatically update an earlier calendar import.
Availability
Find time that is actually yours.
A rest day is only the starting point. See what is left around the rest of life.
What you can do
- Estimate free-time windows around your saved shifts.
- Allow for travel to work and home, sleep and getting ready.
- Adjust the allowances to reflect your routine.
- Include saved caring responsibilities when checking availability.
- Find possible time for a catch-up, exercise, a hobby or a quiet evening.
Estimates depend on what you record. Missing care entries or other commitments do not prove you are free.
Flexi Plan
Explore a better fit for work and life.
See how different hours and patterns could work before discussing a change.
What you can do
- Explore reduced hours or a different arrangement of shifts.
- Set days or times you need to protect.
- Account for childcare and other commitments.
- Compare options and see where hours or availability do not fit.
- Use the result to prepare for a conversation with your employer.
Planning options need your employer’s agreement; they are not an approved working arrangement.
Returning after leave
Make a return to work easier to plan.
After parental leave or another break, use Flexi Plan to explore what your week could look like.
What you can do
- Start with your existing rota as a reference.
- Try the hours you would like to work when you return.
- Explore how school runs, nursery and caring responsibilities fit.
- Compare a changed pattern with the commitments you need to keep.
- Identify clashes before you discuss your return with your employer.
This uses the flexible-working tools. It does not automatically create or approve a phased-return programme.
Caring responsibilities · Pro
Plan the practical side of co-parenting.
Make changing care arrangements easier to see alongside shift work.
What you can do
- Record your usual care pattern, including care that runs across days.
- Add exact handover and return dates and times for agreed co-parent or holiday cover.
- Let the usual care pattern resume after the recorded period away.
- Keep unconfirmed arrangements from being treated as confirmed cover.
- Check recorded care against work to see where leave or another arrangement may be needed.
Co-parent cover is a private record, not a message or agreement service. It applies to all child-care entries in that care rota, so only use it when all that care is covered.
School, nursery & other care · Pro
Keep the moving parts together.
Plan around term time, holidays and the people who depend on you.
What you can do
- Record school, nursery and club routines.
- Add school holidays and inset days.
- Include handover times and travel allowances in care planning.
- Plan adult care or pet care as well as childcare.
- Review work and recorded care together to spot gaps that need attention.
Add the arrangements that apply to you; unrecorded care and school dates still need checking.
Annual leave
See where time off could help.
Bring approved leave into your plan and check the dates that need more thought.
What you can do
- Save approved annual leave alongside your rota.
- Record public holidays and whether you are confirmed off work.
- Compare school closures, saved care and your selected work rota.
- See where leave or alternative cover may be needed.
- Check how time off affects shifts that start on your leave dates.
The app does not calculate leave entitlement, book leave with your employer or confirm care cover.
Partner planning · Pro
See how two working lives fit.
Compare plans with a consenting adult while keeping control of sharing.
What you can do
- Link with a partner for shared planning.
- Compare permitted work and availability information.
- Look for overlaps between work and care needs.
- Allow time for travel and handovers.
- Prepare work and private care sheets to download or print.
Each person controls sharing. Linking someone does not connect them to your other contacts.
Friends & social
Make finding a date less of a job.
Work out when a catch-up might fit around everyone’s shifts.
What you can do
- Join an invited social group.
- Compare the availability people have chosen to share.
- Find possible shared time for making plans.
- Keep sharing optional and under your control.
- Eligible invited beta members can create groups; shared calendars have separate roles.
Shared availability is a starting point. Confirm the plan with everyone involved.

Getting started
Questions people ask before trying it
Practical answers about entering, checking and exporting your rota.
Is Sort My Shifts free?
Yes. You can build or change a rota and create a 12-week calendar file without paying or making an account.
Do I need an account?
No. The free calendar and flexible-working tools work without an account. Membership is still in private testing.
Which shift patterns can I use?
You can use a listed pattern such as Police 2-2-2, Old VSA, five-week VSA and common nursing patterns, or enter your own repeating rota.
What if my rota is not listed?
Choose “Start with words” or build a custom pattern. Enter day, late, night and rest days in the order they repeat.
Which start date should I enter?
Enter the date of the first shift in the repeating pattern you have chosen—not necessarily today. Check the preview against a rota you know is correct.
Can I change the suggested shift times?
Yes. Check and edit each shift’s start and finish time before previewing. You can also use different Friday or Saturday times.
Does it understand overnight shifts?
Yes. If a night shift finishes earlier on the clock than it starts, the finish is treated as the following day.
Can I change just one shift or rest day?
Yes. Preview your rota, select the individual day and add a one-off change. The repeating pattern stays unchanged.
How do I put the rota on my phone?
Create the free calendar file, then open or import the .ics file in Apple Calendar, Google Calendar or Outlook. Your phone may ask which calendar to use.
Will later changes update my calendar automatically?
No. The downloaded file is a snapshot. If your rota changes, make a new file and check for duplicate events before importing it.
Can I export more than 12 weeks for free?
The free download covers 12 weeks. You can also buy a 6-month or 12-month calendar download for a one-off payment, without a membership or subscription. Check your rota, then choose a paid download option. The price is shown before you pay.
What does the flexible-working planner do?
It helps you explore hours, shift changes, protected days and childcare or other commitments. It produces planning options—not employment, legal or HR advice, and not employer approval.
What if the hours I want cannot fit?
The planner explains the shortfall or conflict instead of pretending the plan works. You can then change the hours, available days or shift limits and compare another option.
Is my rota uploaded anywhere?
The free 12-week planner keeps its draft in this browser and creates the file on your device. If you buy a longer download, you confirm before your reviewed rota is sent to our server to fulfil that purchase. Member PDF/photo uploads are sent for reading. Avoid including unnecessary personal or employer information.
Can it read a photo or screenshot of my rota?
The free calendar starts with your words. Describe your rota, check the dates and times, then download it. Photo and PDF uploads are available in the invited member app, where you check the extracted rota before saving. They are not part of the free site.
Can I compare my rota with my partner’s?
Invited Pro Beta members can try opt-in partner planning with separate sharing controls. Public membership is not open yet.
